Democracy International (DI) is seeking to hire an Event Coordination Consultant for USAID`s Promoting Peace and Justice Activity (“the Activity”), which works with legal aid delivery organizations, justice sector actors, and vulnerable groups to improve access to and delivery of justice services in Bangladesh.
As part of this effort, the Activity frequently coordinates events, such as trainings and workshops, with its partners, including the Government of Bangladesh and Civil Society Organizations. It is seeking a qualified individual to support those activities, such as through preparing the budget, identifying the venue, informing the participants, printing materials, ensuring proper logistics (i.e. food, beverage, sound system, etc) and other tasks related to the position. This is a consultant position that may require working nights and weekends.
Reporting: This position reports to Deputy Chief of Party
Level of Effort and Compensation: It is expected that the Event Coordination Consultant will work no more than 30 days on this assignment for a period until June 30, 2023. The Expert will only be compensated for days agreed in writing by PPJ and when the deliverables are submitted on-time and of an acceptable quality. The Event Coordination Consultant will be paid monthly against a timesheet. If travel is required, PPJ will bear the travel expenses in accordance with its official policy.
Job Responsibilities
Provide logistical, operational and administrative support during events
Prepare budgets for events in consultation with the needs of the technical leads and in-line with DI and USAID rules and regulations
Identify acceptable venues, check availability, and prepare price comparisons
Ensure proper logistics for venues, including food, beverage, sound system, etc.
Print training materials, including presentations, banners, and name cards
Prepare sign-in sheets and payment certification forms
Ensure participants are aware of the venue and start time, and are updated of any changes
Be present at the events and troubleshoot logistic related issues that may occur
Adhere to and enforce the company’s policies and procedures in alignment with DI’s Purchasing Handbook
Other duties as assigned
Pre-Event: budgets, venue price comparisons, folders for participants, banner, name cards, and other related items assigned by the supervisor
Post-Event: evaluation of the venue and recommendations for improving logistics at future events (if any)

Bachelor’s degree and at least two-years experience on similar, international-donor funded programs
Experience Requirements
At least 2 year(s)
Additional Requirements
At least two-year experience supporting events in Bangladesh, preferably for an international donor
Familiarity with international donor regulations and procedures
Strong interpersonal skills to effectively coordinate with a wide range of stakeholders
Professional fluency in English and Bangla is required
