Job Context

  • ICDDR,B Employee`s Multipurpose Cooperative Society Ltd. (IEMCS Ltd.) is a cooperative society endeavors to improve well-beings of its members through different types of income generating activities. Established more than 46 years ago, it continues to provide financial benefits to the members from its various business projects.
  • IEMCS Ltd. is looking for a suitable candidate for the position of Transport Officer for its Transport Unit.

Job Responsibilities

  • Under the direct supervision of the Transport Manager’s delegated authority, the incumbent will be responsible for the following duties:
  • Plan and organize daily, weekly movement of vehicles and drivers and monitor compliance with rules and regulations by all drivers;
  • Ensure daily supervision of drivers through a transparent scheduling, clear policy on weekend work, field duty and overtime;
  • Maintain an updated database containing information on vehicle location for all of Dhaka City;
  • Maintain regular control of logbooks to ensure accuracy of data inputs;
  • Receive and respond requests from icddr,b to assign drivers for missions ensuring a proper rotation is always maintained within the driver pool.
  • Maintain a register or tracking sheet for fuel coupons, check invoices, identify and reports on discrepancies;
  • Reconcile the monthly fuel consumption for Vehicle
  • Follow up with insurance company in case of Accidents and monthly Renewals.
  • Follow up with the outsourced Transport Vendors regarding the new vehicle lease / Renewal of existing vehicles lease
  • Prepare all required reports and statistical information for the transport unit.
  • Prepare all IEMCS Ltd’s vehicle maintenance and repair plans;
  • Check invoices submitted by vendors/suppliers and ensure follow-up of their payment and prepare monthly, quarterly and/or annual reports on vehicle management;
  • Ensure proper filing system of documents such insurance files, requests for registration;
  • Undertake periodic monitoring and analysis of costs and operational performance;
  • Capture in IEMCS Ltd data relating to fuel, maintenance, accidents records, operational status and drivers records;
  • Undertake daily physical check of vehicles to identify accidents, damage, mechanical problems;
  • Compare data from logbook (mainly mileage against actual itinerary and distance covered) after field duty;
  • Any other job as may be assigned by the Management time to time.

Educational Requirements

  • Bachelor or equivalent, preference will be given to the candidates having Diploma-In-Mechanical/Automobile engineering

Experience Requirements

  • At least 3 year(s)

Additional Requirements

  • Age should be within 25 to 35 years
  • 3 years’ experience as Transport Officer in a reputed company.
  • Should have a valid driving license.
  • Have experience to prepare driver roaster.
  • Have experience vehicle driving and driving rules.
  • Have experience to training the driver.
  • Mechanical experience
  • A sound knowledge in Computer based fleet management.
  • Should have workable knowledge in MS Word, MS Excel & Power point.
  • Good communication & negotiation skill and ability to work under pressure.
